BUSINESS DOCUMENT GUIDE
Create a professional quotation
A quotation presents a proposed price and scope before the client commits. Include your contact details, the buyer, a validity date, itemized products or services, taxes, discounts and delivery assumptions. Keep the scope and payment terms clear so the client can compare the offer and approve it with confidence. If the proposal changes, duplicate the draft and update the number.
✧
Define the scope
Write item descriptions that explain what is included.
✧
Set an expiry date
Show how long the prices and terms remain valid.
✧
Revise safely
Duplicate a draft before sending an updated quotation.
Frequently asked questions
How long should a quotation be valid for?
State a validity period in the notes, commonly 15 to 30 days for services and up to 90 for larger projects. A written expiry protects you from cost changes if the client accepts late.
What should a professional quotation include?
Your business details, client details, a quote reference, the date, itemized work or products with quantities and rates, tax, discounts, payment terms, and notes covering validity and exclusions.
Can I add terms and exclusions to the quote?
Yes. The additional notes field prints on the PDF, so you can record validity dates, what is not included, and any assumptions the price depends on.
How is a quotation different from an invoice?
A quotation is a price offer made before the work starts. An invoice is the payment demand issued after the work is done. Never use one as a substitute for the other in your accounting.
Does the quote export as a PDF?
Yes. Click Print or Save as PDF and the quotation exports as a clean A4 document with your logo and theme colors applied.
